Fees

Clear quotations based on the work required

Payroll requirements vary by employee number, pay frequency, data quality, reporting and complexity. We therefore provide a written quotation after reviewing the proposed service.

We do not publish a single headline price that may exclude essential work or misrepresent the likely total cost.

Pricing factors

What affects the fee

Our quotation may take account of:

  • number of legal employers and PAYE schemes;
  • number of payrolls and their frequency;
  • number of employees or workers processed;
  • fixed or variable pay structures;
  • volume of starters, leavers and changes;
  • statutory pay and pension requirements;
  • number and format of reports;
  • data import, export or integration work;
  • migration condition and opening-data quality;
  • required turnaround and approval timetable; and
  • non-standard or corrective work.
Charging basis

Types of charge

A quotation may include:

Implementation or migration

an implementation or migration fee;

Recurring processing

a recurring payroll processing fee;

Per employee

a charge linked to employees processed;

Additional runs

fees for additional payroll runs or late reprocessing;

Bespoke reports and data

charges for bespoke reports or data work; and

Agreed extra work

fees for agreed work outside the standard scope.

The applicable basis and payment terms are stated in writing before the service begins.

What the quotation will explain

  • the payrolls and services included;
  • implementation work included;
  • recurring charging basis;
  • assumptions about employee numbers and input format;
  • client responsibilities;
  • excluded services;
  • events that may result in additional fees;
  • invoicing and payment terms; and
  • the quotation validity period.

Additional work

We will identify work outside the agreed scope and, where practical, confirm the fee or charging basis before proceeding. Urgent action needed to meet a statutory deadline may be handled under the urgent-work provisions in the service agreement.

No payroll funds

Service fees are separate from payroll liabilities. Under our standard service, clients do not send us money for wages, HMRC, pension contributions or other payroll payments.
