Payroll Migration and Onboarding

Moving payroll to Clipper Contractor Group Ltd

A reliable migration depends on accurate opening data, clear ownership and enough time for checks. We use a documented onboarding process so that the client knows what is required before the first live payroll.

Controlled changeover

A controlled move from an existing payroll process or provider, including data review, opening balances, parallel checks where agreed and documented approval before live processing.

  1. Stage 1: Scope and readiness

    We confirm:

    • legal employer and PAYE scheme details;
    • payroll frequencies and pay dates;
    • employee volumes and workforce types;
    • required pay elements, deductions and reports;
    • pension scheme arrangements;
    • data sources and available export formats;
    • intended go-live date; and
    • authorised contacts and approval responsibilities.

    We may recommend changing the go-live date if records are incomplete or the proposed timetable does not allow reasonable testing.

  2. Stage 2: Data collection and review

    The client provides the available employee master data, year-to-date values, tax and National Insurance information, statutory pay records, pension data, balances and relevant payroll history.

    We review the data for format, completeness and internal consistency. This review is not an audit and does not prove that information from the previous system is legally or factually correct.

  3. Stage 3: Configuration

    We configure the agreed payroll structure, including:

    • pay calendars;
    • standard pay elements and deductions;
    • departments or cost centres;
    • pension settings supplied by the client;
    • reporting requirements; and
    • approval and output arrangements.
  4. Stage 4: Testing and reconciliation

    Testing may include sample calculations, opening-balance checks and a parallel run against the current payroll. Differences are documented and referred to the client for confirmation or correction.

    A parallel run is included only where stated in the quotation and depends on receiving comparable data in time.

  5. Stage 5: Approval and go-live

    The authorised client contact approves the setup, opening values and first live payroll. Following go-live, issues are handled through the agreed support and correction process.
