End-to-end administration

End-to-end payroll administration for agreed pay cycles. This can include input validation, gross-to-net calculations, payroll reports, payslips, approved submissions and year-end processing.

We agree the processing timetable, input format, approval route, payroll outputs and responsibilities before the service begins.

Scope

What the service can include

  • payroll calendar and deadline management;
  • new starter, leaver and employee change processing;
  • salary, hourly pay, overtime, bonus, commission and expense inputs;
  • approved deductions, attachments and adjustments;
  • PAYE and National Insurance calculations;
  • student and postgraduate loan deductions where applicable;
  • statutory payment processing;
  • pension deductions and contribution calculations;
  • payroll summaries, exception reports and variance reports;
  • electronic payslips or agreed payslip files;
  • payment reports for the client's authorised banking process;
  • RTI submissions where authorised; and
  • tax-year-end administration included in the agreed scope.
Inputs

Information we require

The client must provide complete and authorised information in the agreed format. This normally includes:

  • employer and PAYE scheme details;
  • employee identity and payroll records;
  • tax codes and available HMRC notices;
  • contractual salary or approved pay rates;
  • hours, overtime, bonuses and other variable pay;
  • deductions and court or agency orders received by the employer;
  • statutory leave and absence information;
  • pension scheme and membership data;
  • bank-reporting requirements; and
  • year-to-date figures when a payroll starts part-way through a tax year.

Approval and finalisation

We provide the agreed pre-finalisation reports to the authorised client contact. The client must check employee numbers, gross pay, deductions, net pay, employer costs, exceptions and material changes.

Payroll is finalised only after approval through the agreed process. Late changes may require reprocessing and may affect submission or payment deadlines.

Payments

Our standard service produces payroll and payment information for the client. The client remains responsible for:

  • maintaining sufficient funds;
  • authorising and making employee payments;
  • paying HMRC by the applicable deadline;
  • paying pension contributions to the scheme; and
  • paying third parties for deductions or orders.

Clipper Contractor Group Ltd does not receive or hold payroll funds under its standard service.

Corrections

If an error arises from information supplied by the client, we will assess the correction and confirm any timing or fee impact before carrying out additional work. If an error arises from our failure to follow complete and approved instructions, we will correct the payroll records within the scope of our contractual obligations.

All corrections require an audit trail and appropriate client approval.
